Gilmo is operated by Blue T Group, LLC. This Privacy Policy explains how we collect, use, disclose, retain, and safeguard information when you use the Gilmo Discord bot, website, and related services at gilmo.ai (the Service).

2. Information We Collect

We collect information you provide directly to us and information automatically collected when you use our services:

• Name, email, and account data
• Payment and billing information (processed by our payment partners)
• Server (guild) and channel identifiers, user IDs, relevant roles and permissions, moderation settings, moderation actions, and operational logs
• Message content, attachment metadata, and limited recent same-channel context in servers where an administrator has activated moderation
• Content fetched from URLs you designate, including caches derived from that content
• Technical data such as IP address, device/browser information, diagnostics, usage metrics, and analytics
• Messages exchanged with the Gilmo bot, including administrator conversations in the configured management channel

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and secure our moderation and AI-assisted services
• Process payments and manage subscriptions
• Send service updates and notifications (including bot DMs and server alerts)
• Improve performance, quality, and safety using aggregated or de-identified information; troubleshoot and prevent abuse
• Comply with legal obligations and enforce our Terms
• AI processing: we send the triggering message, limited same-channel context, configured rules, and related event metadata to OpenAI's API so an AI model can evaluate the message and return a moderation decision. Gilmo does not use Discord message content to train AI or machine-learning models.

4. Data Storage and Security

We implement appropriate technical and organizational measures to protect personal information:

• Encryption in transit and at rest where appropriate
• Access to personal data is restricted to authorized personnel
• Security reviews and updates on a reasonable cadence
• Data is stored on secure servers in the United States
• Operational logs and administrator conversation history that may contain Discord message content are automatically pruned after 30 days under our standard configuration
• Account, subscription, moderation configuration, and administrator-designated knowledge data are retained while needed to provide the Service, until the administrator removes them or the account is deleted, subject to legal, security, fraud-prevention, and backup requirements
• OpenAI separately controls service-side retention for API data under its published API data controls

5. Third-Party Services

Gilmo integrates with third-party services to provide functionality:

• Discord API for bot functionality
• OpenAI for AI inference. OpenAI states that API inputs and outputs are not used to train or improve its models unless the API customer explicitly opts in; Gilmo does not opt in to that use
• Clerk for identity and authentication
• Payment processors for subscription management
• Hosting, logging/monitoring, and security providers
• Analytics services for usage tracking

6. Cookies and Tracking

Our website uses cookies and similar technologies that are necessary for authentication, security, and core site functionality. Where optional analytics technologies are used, we provide choices as required by applicable law.

7. Your Privacy Rights

Depending on your location, you may have certain rights regarding your personal information (e.g., under GDPR/UK GDPR or U.S. state laws such as CCPA/CPRA):

• Access to your personal data
• Correction of inaccurate data
• Deletion of your data (subject to exceptions and backups)

8. Data Sharing and Disclosure

We do not sell your personal information for money. We may share your information in the following circumstances:

• With service providers and sub-processors that support our operations (see Section 5)
• With OpenAI as a service provider for AI inference, subject to OpenAI's API terms and data controls

9. Children's Privacy

Gilmo is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from individuals under 18. If you believe we have collected information from a minor, please reach out via our Discord server so we can address it.

10. International Data Transfers

Your information may be transferred to and processed in countries other than your own, including the United States. Where required, we rely on appropriate safeguards (e.g., standard contractual clauses). By using the Service, you consent to these transfers.

We may update this Privacy Policy from time to time. We will post the updated Policy on this page and revise the "Last Updated" date. Continued use of our services after changes constitutes acceptance of the updated Policy.
